Client indexes

If you use Mindbody indexes to segment your clients based on things that matter to you (for example, age range, spa or gym client, experience level, etc.), CRMConnect will sync the indexes with HubSpot as well!

How does the two-way client sync work?

The sync from Mindbody → HubSpot is automatic. The sync from HubSpot → Mindbody is triggered by a custom property in HubSpot called "Push to Mindbody" which instantly pushes the contact to the chosen Mindbody site. If a matching client already exists, an update is made. If not, a client is created in Mindbody. The "Push to Mindbody" custom property can also be set by a form or a workflow in HubSpot.

How frequently is the data synced?

Client and contact syncing happens instantly. Sales, class bookings, appointment bookings, membership, and contract info synced from Mindbody to the HubSpot contact also occur instantly. The Mindbody Appointment Pipeline is updated every 15 mins. Visits and the Mindbody Sales Pipeline are updated once a day.

Are class bookings and attendance, visits, sales, appointments, membership, and contracts two-way synced?

No. Class bookings and attendance, visits, sales, appointments, membership, and contracts are only synced from Mindbody → HubSpot.

How much historical data is included with the integration?

Mindbody imposes API rate limits and fees that throttle data importing into HubSpot.  The default amount of data imported into HubSpot includes appointments going 7 days back and 30 days forward, and visits and sales going 1 month back.

Which HubSpot Hub do I need to run CRMConnect?

CRMConnect will work with the free version of HubSpot, but some features and benefits, such as the Mindbody Appointment and Sales pipeline require a HubSpot Pro Hub which also allows workflows. To set up even more powerful automations, a subscription to HubSpot’s Sales Hub Enterprise allows for auto-enrolling contacts in sequences. This is one of the most powerful features CRMConnect enables.

Are HubSpot workflows and sequences included?

No. CRMConnect only interprets and syncs data between Mindbody and HubSpot. This data then becomes very actionable, but it is up to you to build workflows, sequences, etc. If you are looking for help with this, please inquire within, as we can refer you to a HubSpot partner that is familiar with CRMConnect.

What happens to a Mindbody client with no email?

A Mindbody client with no email that’s synced with HubSpot will not have an email in HubSpot either.

What happens to Mindbody clients with duplicate emails?

How do you connect families in HubSpot?

CRMConnect relies on the "Pays for" and "Is paid for" relationship in Mindbody to identify family members and add them to the same company.

How do I automatically contact a parent about their child in HubSpot?

Using a company-triggered workflow, you can check the property value of any contact associated to the company (family). You can then add an action to send an email or SMS to the contact with the custom association label "Pays for".

How do I get advertising ROI reporting?

When you have HubSpot Marketing Hub at the enterprise level, you can go to Marketing / Ads, connect your ad accounts and configure your reports.

I have more clients in Mindbody that I can afford to sync. What should I do?

The 5,000 clients synced only refer to the clients we see come through the integration. You can have many more clients in Mindbody and if they do not trigger a sync because they are inactive (without updates, visits, purchases, etc.) then they are not counted. So the number of clients you need to sync only includes currently active clients and clients who become active in the future.
